Booking terms and conditions, Bot Coët Cottages


Your cottage is offered for holiday rental subject to confirmation by Carolynn and Richard Biggs (we/us) to the

renter/rental party (you). Please ensure you read and fully understand these booking terms and conditions. If

anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings. The

contract binds you and all the members of your party. It is your responsibility to ensure that all members of your

party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all

relevant information or comply with these terms may lead to termination of the contract and loss of the booking.

Booking and Payment

1. To reserve the property, you should complete the booking form and return it together with payment of the

deposit (25% of the total rent due), or if you are booking less than eight weeks before departure, the full

price. Following receipt of the booking form and deposit, we will send a confirmation. This is the formal

acceptance of the booking.

2. The balance of the rent (see below) is payable not less than eight weeks before the start of the rental period.

If the full amount is not received by the due date then your holiday will be treated as a cancellation and you

will remain liable to pay the balance of the rent

3. The security deposit cheque (see below) is due on arrival, together with the local taxe de sejour which we

collect on behalf of the region. Likewise, any chargeable expenses arising during the rental period, should be

paid locally to us before departure.

4. Bookings cannot be accepted from persons under 18 years of age.

Insurance

5. We strongly advise you to take out comprehensive travel insurance to cover cancellations, baggage cover,

travel, medical etc. If you choose not to, then you accept responsibility for any losses that you may incur.

Cancellation

6. Your booking will not be cancelled by us except in exceptional circumstances beyond our control. Notification

will be given of the cancellation as soon as possible and we will promptly refund all payments made for your

holiday. Our liability for cancellation will be limited to payments made to us. We will however, make every

attempt to relocate you in the first instance.

7. If you cancel the booking the following conditions will apply:

a. Cancellation more than 16 weeks from the holiday start date – we will refund all monies paid by

you.

b. Cancellation between 8 and 16 weeks from the holiday start date, we will do all we can to re-let

the cottage, if this is possible, we will refund your deposit in full. If it is not possible to re-let the

cottage, then we reserve the right to retain the deposit paid.

c. Cancellation less than 8 weeks from the holiday start date, we will do all we can to re-let the

cottage, if this is possible, we will refund the monies paid by you. If it is not possible to re-let the

cottage, then the full balance remains due and we reserve the right to retain the monies paid.

8. If there are government mandated restrictions which by law prevent you from travelling/going on holiday (eg

covid 19), the following options will apply:

a. You can transfer your booking to a new date

b. You can cancel your booking and ‘hold’ the credit until you are ready to confirm a new date

c. You can cancel your booking and receive a full refund

Prices

9. Prices are per cottage and are inclusive of electricity, gas, water, logs where appropriate and the provision of

bed linen and towels (excluding beach/pool towels). Please bring your own pool towels otherwise a charge

will be made.

10. No parties or events – Under no circumstances can the prescribed number of persons on the booking form be

exceeded without our prior written agreement. We reserve the right to terminate the booking without notice

and without refund in case of a breach of this condition.

11. You agree to be a considerate tenant and to take good care of the property and to leave it in a clean and tidy

condition at the end of the rental period. We do not charge extra for cleaning.

Security deposit

12. In making a booking you accept responsibility for any theft, breakage or damage caused by you, or any

member of your party and agree to indemnify us in full for any loss that we may incur as a result. A security

deposit of £100 is required and will be returned within 14 days of the end of your holiday, less the cost of

damage/breakages. We reserve the right to make a retention from the security deposit to cover cleaning costs

if you leave the property in an unacceptable condition.

General

13. The rental period starts at 4pm on the first day and ends at 10am on the day of departure to give enough

time between clients to ensure that the property is ready.

14. Please treat the facilities and accommodation with due care so that other guests may continue to enjoy

them.

15. You agree not to act in any way which would cause disturbance to people in neighbouring properties and

our community.

16. Guests are responsible for the safety and security of their children at all times. Never leave children without

adult supervision.

17. If you notice something is missing or damaged in your accommodation, please let us know immediately so

that we can take the appropriate action. If there is any damage or any breakages during your stay, we would

be grateful if you could report them promptly, especially before check-out.

18. While every possible effort will be made to maintain the pool and household equipment in good order for

your enjoyment, we cannot accept liability in the event of any unforeseen calamity but would ask you to bear

with us whilst we attempt to rectify the problem as soon as possible.

19. The cottages are strictly non-smoking and we do not allow pets. Car parking is at your risk.

20. You may under no circumstance re-let or sublet the property, even free of charge.

21. While every effort has been made to ensure the website and all advertising material is accurate at the time

of publication, we cannot be held responsible for changes or matters outside our control. All information is

given in good faith but no warranties are made regarding information provided, either written or oral.

22. We reserve the right to make reasonable amendments or additions to these terms and conditions without

notice.

Swimming Pool

23. To enable us to clean the pool, there is no swimming between 9 pm and 10 am normally. No diving as the

pool is only 1.2m deep. No drinking glasses or bottles to be used around the pool (plastic only please) and

no food within the pool area. Children must be under parent's supervision at all times as we cannot be

responsible for their safety.

Complaints

24. In the event of a complaint arising, please bring this to our attention immediately so that remedial action,

where necessary, can be taken without delay. We will do everything possible to deal with any difficulties

quickly and effectively. We reserve the right to enter the property at any reasonable time to undertake

essential maintenance or for inspection purposes.

25. Any complaint after departure must be in writing within 14 days of your departure.

26. We shall not be liable to you:

a. for any temporary defect or stoppage in the supply of public services to the property, nor in

respect of any equipment, plant, machinery or appliance in the property, garden or swimming

pool.

b. for any temporary outage of electricity, gas, water, internet connection or television service.

c. for any loss, damage or injury which is a result of adverse weather conditions, riot, war, strikes or

other matters beyond our control.

d. for the loss of any personal belongings or valuables of the guest.

27. Under no circumstances shall our liability to you exceed the amount paid to us for the rental period.

28. We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the

persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

29. These conditions are governed by English law
